An employee record holds a person's profile, role, department, manager, compensation and documents. It is the source of truth that the rest of People, plus payroll, approvals and access, builds on. The Directory (/people/directory) lists every record, and each person can also see their own profile through Self-service (/people/me).
Sections of a record
- Profile: name, contact details, job title, start date, employment type.
- Reporting: manager and department, which feed the org chart and approval chains.
- Compensation: salary and changes over time; protected by field-level access (FLS).
- Documents: contracts, IDs and policy acknowledgements stored in HR storage, and signed forms from e-sign.
- Custom fields: any extra data your organization defines (see the custom fields article).
Adding and inviting people
- 1Go to People > Directory and choose Add employee (or Invite user to give them a login).
- 2Fill in the profile. Any custom field marked required must be completed before you can save.
- 3Set the Manager and Department so approvals and the org chart resolve correctly.
- 4Save. The person appears in the Directory and the org chart immediately.
- 5Send onboarding tasks from People > Onboarding so day-one work is tracked.
Who can see and edit what
- Employees: their own profile and documents via Self-service.
- Managers: their reports where module access allows.
- HR administrators: everything, including compensation and payroll.
- Field-level access (Settings > Field access) can hide or make read-only sensitive fields per role.
Leaving the company
Removing a person deactivates them; it never deletes the record, because leave, expense, approval and payroll history reference it. Use People > Offboarding to run an exit checklist, then deactivate. Their history stays intact and reportable.
