01

Scope

This policy covers every message sent through Limnn: Limnn Mail mailboxes, marketing email campaigns, sales sequences and cadences, automated flows and journeys, SMS, and email Limnn sends on its own behalf. It forms part of the Terms of Service and the Acceptable Use Policy.

03

Anti-spam laws

All sending must comply with the laws that apply to you and your recipients, including the US CAN-SPAM Act, Canada's CASL, the EU GDPR and ePrivacy rules, the UK PECR, and equivalent local laws. Every commercial message must identify the sender truthfully, use honest subject lines, include your valid postal address, and offer a working way to opt out.

04

How unsubscribe and suppression work in Limnn

  • Every marketing email includes an unsubscribe link and the `List-Unsubscribe` and `List-Unsubscribe-Post` headers, so mail apps can show a one-click unsubscribe button (RFC 8058).
  • Unsubscribing is safe from link scanners: opening the link shows a confirmation page; the unsubscribe happens only when the person confirms, or when their mail app sends a one-click request.
  • One unsubscribe applies everywhere: the contact or lead is flagged do-not-email and added to your workspace's Do-Not-Contact list, so sales sequences and automations honour it as well as marketing email.
  • Sends skip suppressed people automatically: anyone flagged do-not-email, or with an active Do-Not-Contact entry, is excluded when a campaign is prepared, and people who unsubscribe after a campaign is scheduled are skipped at send time.
  • Do-Not-Contact control centre: admins can add people to the list by email or phone, for email, with a reason; lifting an entry records who lifted it and why.
  • Frequency caps let you limit how often the same person receives marketing email.
  • Data-subject erasure replaces a person's opt-out with a hashed marker, so they stay suppressed without their address being kept.

You must not remove, bypass or re-import around these controls. Process opt-outs you receive by other means (for example by reply or phone) promptly, and in any case within the time the law requires (10 business days under CAN-SPAM).

06

Prohibited content

Do not send phishing, malware, fraud, deceptive offers, harassment, hateful or illegal content, or messages that impersonate others. Do not send content that requires age verification or that promotes regulated goods without complying with the rules for them.

07

Authentication and deliverability

Authenticate sending domains with SPF, DKIM and DMARC. Limnn shows the DNS records to add when you connect a domain. Inbound Limnn Mail is checked for SPF, DKIM, DMARC, spam and viruses. Keep lists clean, remove addresses that bounce, and warm up new domains gradually. Limnn may rate-limit, throttle or pause sending that generates high bounce or complaint rates or that puts shared sending reputation at risk.

08

Email Limnn sends

Limnn sends account and service email (such as invitations, security notices and billing messages) and, to business contacts, occasional product news. Product news always includes an unsubscribe link and the sender's postal address, as anti-spam law requires. Service messages cannot be switched off while you have an account.

09

Enforcement and reporting

We may investigate suspected violations and may throttle or suspend sending, disconnect a domain, or suspend or terminate the workspace. Report spam sent through Limnn to support@limnn.com with the full message headers.
