Workforce analytics notice
What Limnn Active collects, what it never collects, who is included and what each employee can see about themselves.
What Limnn Active is
Limnn Active is workforce productivity and time analytics: consent-based, transparent time tracking, time and attendance intelligence, and team capacity and utilization insights. It helps teams understand how working time is spent, which applications and sites are used, focus versus idle time, shift hours and breaks, so organisations can plan workloads, spot burnout risk and prepare payroll-ready hours.
This notice is for employees and contractors whose organisation uses Limnn Active, and for the employers that deploy it. The employer decides whether and how to use Active and is the controller of the data; Limnn processes it on the employer's behalf (see our Privacy Policy).
What is collected
From the web time clock (no software needed)
Clock-in and clock-out times, breaks, notes you add, and the resulting worked, break and overtime hours.
From the desktop app, once a device is enrolled and the notice accepted
| Signal | Detail |
|---|---|
| Foreground application | The name of the app in use (for example “Figma”), sampled once a minute. Limnn classifies it on the server as productive, neutral or unproductive using rules your organisation sets. |
| Website domain | For web browsers only, the domain of the site (for example github.com). The app reads the browser's window title on the device only to find the domain; the title itself, the full URL, page path and query are never sent or stored. |
| Active or idle | Whether the computer is in use. Idle means no keyboard or mouse input for 90 seconds. Only the fact of activity is measured, never what was typed or where the pointer went. |
| Background use | Whether an app was running without focus. |
| Device details | Computer name, operating system version and app version, for the device list. |
Derived insights
Focus and utilization trends, shift and overtime summaries, workload-balance and burnout signals (based on after-hours work), team breakdowns, application and licence usage, and AI-assisted productivity models per role. Where the organisation uses Limnn's CRM, insights can be shown alongside work outcomes such as deals, tickets and calls.
What is never collected
- Screenshots or screen recordings. Active contains no screen-capture code.
- Keystrokes, typed text or clipboard contents.
- Full URLs, page titles, file names or document contents.
- Chat, email or message content.
- Camera or microphone. Active never accesses or requests them.
Consent and who is included
- Notice first: each person accepts the Limnn Active notice in the app before activity data is collected from their device. When an organisation installs the app through device management (MDM), enrollment records an organisation-policy acknowledgement instead, so the employer must give employees notice through its own policies.
- Admin-controlled scope: by default regular team members can be included, while managers and admins are included only if an admin chooses. Admins can exclude any individual, and exclusion always wins.
- Switching off: if a person is excluded, or no acceptance is on record, their device keeps checking in but no activity is stored for them.
- Devices can be revoked at any time, which stops all collection from that device.
What you can see
Everyone can open My Activity to see their own time, focus and activity data, the same information their manager sees about them. The Privacy Center in Active shows what is and is not collected and who is included. Managers see their direct reports; admins see the workspace.
Application rules
An employer can define a list of blocked applications. When a blocked application comes to the foreground on an enrolled device, the Active app closes it. Website blocking is not part of Limnn Active.
Retention
Activity and time records are kept until the employer deletes them or the workspace is deleted. Limnn does not apply an automatic deletion period to Active data, so employers should set and apply their own retention period.
Employer responsibilities
Organisations that deploy Limnn Active agree to:
- use it only for legitimate workforce purposes such as time and attendance, payroll, capacity planning and wellbeing, and never for covert or unlawful purposes;
- have a lawful basis, complete any required impact assessment, and consult or inform works councils, unions or staff representatives where the law requires;
- tell people clearly, before collection starts, what is collected and why, including when rolling out through device management;
- assign every enrolled device to the person who uses it, so that person's acceptance and inclusion settings apply;
- not deploy Active on personal devices without the person's agreement, and respect local rules on working-time records;
- handle access, correction and deletion requests from their people, and set a retention period; and
- follow our Acceptable Use Policy.
Your rights
Questions about how your organisation uses Active, and requests to access or delete your data, should go to your employer, which controls it. If you cannot reach them, contact privacy@limnn.com and we will pass your request on and help them respond.
