Every organization tracks something the default profile does not: a badge number, a shirt size, a work-permit expiry. Custom employee fields let HR add those to the record, and the required flag makes sure they are never skipped.
Creating a field
- 1Open People > Settings (HR setup) and find the custom fields section.
- 2Choose Add field and give it a label.
- 3Pick a type (text, number, date, dropdown and so on) and, for dropdowns, enter the options.
- 4Toggle Required if the field must always be filled.
- 5Save. The field appears on employee forms straight away.
What Required actually does
- The employee form blocks saving until the field has a value.
- Existing employees are not rewritten; they are prompted the next time their record is edited.
- Required fields are enforced for new hires and edits alike, so reports never contain unexpected blanks.
Two field systems, one habit
Limnn keeps two parallel field systems for employees: the built-in profile fields and the custom fields you define. Both show on the same form, but the required flag is configured on the custom field itself. If a built-in field is missing from your form, check whether it is hidden by field-level access before creating a duplicate custom field.
Protecting sensitive fields
Fields containing IDs, health data or pay should be restricted. Go to Settings > Field access, choose the field, and set which roles can view or edit it. A restricted field is hidden from Directory search, exports and reports for people without access.
