Limnn Mail

Mailboxes

Personal, shared and group mailboxes, how they are provisioned, and how they link to your CRM.

6 min read

Limnn Mail is native email hosted by Limnn on Amazon SES. It is not a client bolted onto another provider, which is why every message can be tied to the contacts, companies, deals and tickets it concerns.

Mailbox types

  • Personal mailbox: created automatically for each user on the workspace default domain.
  • Shared mailbox: a role address such as sales@ or support@ that a team triages together.
  • Group: a MailGroup distribution address that fans mail out to its members.

How provisioning works

Once an administrator has verified a domain and marked it as the default, each user receives a mailbox on that domain automatically. Shared mailboxes and groups are created by an administrator.

  1. 1Go to /mail/admin (Mail admin) as an administrator.
  2. 2Confirm the default domain shows as verified.
  3. 3Create a shared mailbox or a group and add its members.
  4. 4Members see the shared mailbox in their Mail sidebar next to their personal inbox.

Working a shared mailbox

  • Everyone with access sees the same inbox, so triage the thread before replying to avoid duplicate answers.
  • Replies go out from the shared address, not from the individual.
  • Threads link to the matching CRM contact and account automatically.
Mailbox access follows workspace roles. If someone cannot see a shared mailbox, check their membership in Mail admin before checking anything else.
